Appointment Cancellation & No-Show Policy

We understand that life happens and schedules can change unexpectedly. Our goal is to accommodate all patients who need care, and we rely on your help to keep our schedule running smoothly. For this reason, we kindly request that you cancel or reschedule your appointment at least 24 hours in advance. You can do so by calling us at 803-771-7506 or by clicking here.

1. Definition of a No-Show

A “No-Show” occurs when a patient:

  • Does not arrive for a scheduled appointment, and
  • Fails to cancel or reschedule at least 24 hours before the appointment time, or
  • Arrives more than 15 minutes late to an appointment.

Note: We offer a grace period for “Late Arrival” (up to 15 minutes after your scheduled time). However, if we cannot accommodate you due to timing or to avoid inconveniencing other patients, your appointment may need to be rescheduled.

2. No-Show Fee

  • Each no-show appointment will incur a $75 fee, which must be paid in full before scheduling a new appointment.
  • This fee is not covered by insurance and is the patient’s responsibility.
  • If this fee creates a financial hardship, please contact our billing department to discuss potential options or payment arrangements.

3. Same-Day Cancellations

  • Appointments cancelled less than 24 hours in advance will be treated as no-shows and incur the $75 no-show fee.
  • If your appointment is on Thursday at 10:00 a.m., for example, you must contact us by Wednesday at 10:00 a.m. to avoid the fee.

4. Repeated No-Shows and Discharge Policy

  • After accumulating two (2) no-show fees, you may be placed on a no-show warning status. We will send you a written or electronic notification.
  • Continued missed appointments without valid reasons may result in discharge from our practice at the discretion of our management.

5. Emergencies and Fee Waivers

  • We understand emergencies or unforeseen circumstances can arise (e.g., severe illness, accidents, inclement weather).
  • If you believe a missed appointment should be exempt from fees, please contact us as soon as possible.
  • Management will review each situation on a case-by-case basis and may waive or adjust fees at its sole discretion.

6. Appointment Reminders

  • As a courtesy, we offer text message or email reminders to help reduce missed appointments.
  • Please ensure we have your up-to-date contact information so you receive these timely reminders. If you prefer not to receive reminders, let us know, and we will update your preferences.
